TIPS FOR COURTESY APPOINTMENTS

WHAT IS A COURTESY APPOINTMENT?

  • A courtesy appointment is a faculty appointment which does not include compensation, but may include special faculty privileges such as library privileges and email accounts. The appointment must be made in accordance with regular faculty qualifications, but the appointee may or may not be affiliated with the University.

HOW TO APPOINT A FACULTY AS COURTESY:

  • A completed FSU paper personnel action (pPAF) form is required to appoint someone as courtesy. The form must be completed for anyone who is teaching a course who is not being paid by Salary or OPS funds. Leave the end date of the courtesy appointment open unless you are aware of a specific ending date at the time of appointment. FSU employees may hold a courtesy appointment to record an official association with a particular department. Please remember, faculty currently employed with FSU (including phased retirees) may not volunteer teach.

TERMINATING THE APPOINTMENT:

  • Courtesy appointments should be terminated when the services of the faculty member are no longer needed by submitting an action form and a Termination Checklist to the Office of the Dean of the Faculties.
  • Exceptions: (1) If the courtesy appointment has a specified end date and a paid appointment is effective immediately after the courtesy appointment ends, no change order or checklist is required (if in same department); (2) or if the courtesy appointment has no end date but a paid appointment is to take the place of the courtesy appointment, an action form must be done to end the courtesy appointment, but no termination checklist is required if in remarks it is noted that employee is to be appointed in a paid position.

RETIRED FACULTY

  • A retired faculty member can be appointed as courtesy in order to continue to receive university mail but only if this is clarified in “remarks” on the appointment paper.

EMINENT SCHOLAR

  • If an eminent scholar is to be paid from the Foundation, a courtesy appointment must be set up with the TITL designated as “H9009” and rank designated as “01” on the appointment paper.
